Requesting a trip
From choosing a trip to getting your quote.
How do I request a trip?
Open the trip you like and press Request this trip. You need an account, so the site asks you to sign in or sign up first. You come straight back to the request form afterwards.
- Choose to go alone or with your class. Alone is only shown when the trip allows it.
- Say how many people are travelling. The trip sets a smallest and a biggest group.
- Fill in each traveller's details. Tick “I'm one of the travellers” to fill in your own.
- Add your preferred dates, any notes and roommate wishes.
- Check everything and send.
I stopped in the middle. Did I lose my request?
No. The form saves a draft by itself. Sign in again, open the same trip and press Request this trip to carry on.
What happens after I send it?
You see a confirmation page with a reference code that looks like ST-2026-00001, and you get the same details by email. Keep the code: use it when you write to us.
The team reads your request and sends you a quote. You can follow every step on the request page in your account, where the status timeline shows where things stand.
Can I go alone?
Only if the trip allows it. Trips marked Group only need a class or a group of friends. The request form shows the smallest and biggest group for the trip you chose.
Can I cancel or change my request?
You can cancel yourself until a quote arrives. After that, open your request and use Request a change: it sends a message to the team, who will help you.
Refund and cancellation rules are written in the Terms and in your quote. If you are unsure, ask us before you pay.
Do I need a visa?
It depends on the trip and on your passport. Ask the team before you request and we will tell you what to prepare. Each embassy makes its own decision, so we cannot promise a visa.
Groups and join links
Travelling with your class.
How do my classmates join my group?
When you send a group request, it gets a join link and a code. Share either one. Your classmates open it and add their own details. They do not need an account to do that.
What can the person who made the group do?
The group's representative can remove members, lock the group so nobody else can join, and make a new join link. You find these tools on the request page.
My join link does not work any more.
Join links expire, and a locked group does not take new members. Ask the group's representative to make a new link or unlock the group. If that person cannot, write to us with the reference code.
Quote and paying with Instapay
How the money part works.
What is in my quote?
The quote lists what you pay for, any discount, the total, and a payment plan: a deposit and then instalments, each with a due date. You can download it as a PDF.
You can accept it, decline it with a reason, or ask a question. A quote is valid for a limited time and shows how many days are left. We email a reminder two days before it expires.
How do I pay with Instapay?
Open your request and press Pay now. The Pay page shows the agency's Instapay username and QR code, the exact amount, and your payment reference code. It always shows the latest details, so use those and not an old screenshot or message.
- Choose an instalment, or the full amount left.
- Open your Instapay app and send exactly that amount to the username, or scan the QR code.
- Put your payment reference code in the transfer note.
- Take a clear screenshot of the finished transfer.
- Upload the screenshot on the Pay page and add the sender's name and phone.
What screenshot can I upload?
A picture (not a PDF) up to 5 MB. Make sure the amount, the date and the reference are easy to read. The same screenshot cannot be used twice.
What happens after I upload it?
The payment shows as waiting while the team checks it. When it is approved your balance and your request status update by themselves, and a receipt is emailed to you. You can download receipts any time from your request page. If we cannot approve it, we tell you why so you can send a new one.
Can I pay another way?
Sometimes Vodafone Cash or a bank transfer is available. If it is, the Pay page lists it next to Instapay. If you only see Instapay, that is the way for now.
Documents and parent consent
What we need before you travel.
Which documents do I upload?
For each traveller: the passport (with its expiry date) and the national ID. You can add other documents if the team asks. Use a photo or a PDF up to 10 MB. Files are private: only you and the agency team can see them.
The site warns me about my passport. Why?
Many countries want a passport that is still valid for at least six months after you come home. If yours expires sooner than that, the site warns you. Renew it, then upload the new one.
What do Pending, Approved and Rejected mean?
Pending means the team has not looked yet. Approved means it is fine. Rejected means something is wrong (for example, a blurry photo). The team's note explains what to fix, and you can upload it again.
I am under 18. What does my parent have to do?
Your parent or guardian gets an email with a private link. They read the consent text, type their full name and tick the box. Nothing else is needed. Check that the guardian's email you entered is correct and ask them to look in their spam folder.
Parents and your account
Following the trip and looking after your details.
How can my parents follow the trip?
A parent can sign up as a parent and link their child with a code, or use the link in the email sent to the guardian. The parent portal shows the request status, payments, documents, trip details and the leader's updates during the trip.
I forgot my password.
Press Forgot password on the sign-in page and we email you a link. Passwords need at least 12 characters. If the email does not arrive, look in spam, then write to us.
Can I see or delete my data?
Yes. In your account, open the Privacy page. You can press Download my data to get everything we hold about you, or Delete my account. Deleting removes your personal details. We keep payment records so our books still add up.
